About the Company:

Portrait Construction, Inc., a General Contractor in Corona, California is seeking an energetic, experienced professional Contracts Administrator for large multi-family apartment projects. This position requires excellent communication and collaboration skills along with computer and multi-tasking skills. This is an in-office position, and candidates must be able to work on-site at our Corona office. 

Purpose:

The Contract Administrator is responsible for supporting the administrative and contractual operations of construction projects. This role involves high-volume, transactional tasks and plays a vital role in contract lifecycle management, compliance, and document control within a fast-paced environment.

 

Essential Duties:

  • Setting up projects, job binders, electronic file folders, this includes job setup and entries in software.
  • Prepares and distributes Master Agreements and Master Tracking Agreements.
  • Prepares, issues, and manages contracts, subcontracts, purchase orders and change orders.
  • Oversee document flow via DocuSign or hard signature and maintain accurate tracking and filing of documents.
  • Coordinates insurance requirements and processes preliminary notice information.
  • Drafts, reviews, and edits contractual documents for completeness, accuracy, and legal compliance.
  • Acts as a liaison between our company. and customers, subcontractors, and vendors to clarify contract terms and ensure mutual understanding of contractual documents.
  • Assures enrollment of our company and subcontractors in OCIP programs.

 

Knowledge, Skills, and Abilities:

  • Minimum 2+ years of experience in contract administration.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to manage multiple projects and deadlines in a fast-paced setting.
  • Strong written and verbal communication skills for internal and external collaboration.
  • Familiarity with contract law and legal terminology are preferred.
  • Proficiency in negotiation, interpretation, and drafting of contractual terms.
  • Proficient with Sage, DocuSign, Adobe Acrobat Pro, Procore and Microsoft Office Suite.
  • Ability to assess contract risks and propose appropriate mitigation strategies.
  • Demonstrated organizational and administrative support skills, including file maintenance and data entry.
  • Ability to work independently and as part of a team.
