EVENTS MANAGER

Hell’s Kitchen Pickleball is New York City’s exclusive pickleball club, combining top-tier facilities, a vibrant social scene, and exciting pickleball experiences. As a members-only club, we host private events, tournaments, and team-building sessions for corporate clients and social groups. Job Overview:

The Events Manager will play a critical role in ensuring the smooth execution of private events at Hell’s Kitchen Pickleball. This position involves leading the server and bar teams, coordinating with catering partners, and serving as the primary point of contact for clients during their events. The Events Manager will also handle client inquiries for smaller budget events, draft proposals, and ensure each event runs seamlessly from start to finish while maintaining the club’s high standards of service. In addition to private events, the Events Manager will oversee membership programming. They will be responsible for designing and executing an exceptional calendar of social events and wellness events that foster community, engagement, and an elevated member experience.

Key Responsibilities:

● Event Day Operations:

○ Lead the server and bar teams during events, ensuring top-tier service and a seamless guest experience at Hell’s Kitchen Pickleball.

○ Coordinate with catering companies to receive deliveries, oversee food setup, and ensure that all food and beverage arrangements meet the expectations of the client and adhere to our club's high standards.

○ Ensure beverage packages are properly stocked and served by coordinating with the bar team, ensuring that the correct package is in place for each event.

○ Oversee event setup and breakdown, including court preparation for pickleball play, and ensure all areas are clean and organized post-event.

○ Be the on-site liaison for clients during events, ensuring all needs are met and addressing any last-minute requests or changes.

○ Ensure events are properly staffed with servers and bartenders, adjusting as necessary to meet event-specific requirements.

● Guest & Client Experience:

○ Ensure all clients and guests are satisfied with their experience, addressing any issues promptly and maintaining a positive atmosphere throughout the event.

○ Work closely with pickleball coaches to organize games or tournaments, ensuring both casual players and serious competitors enjoy their time on the courts.

○ Act as the main point of contact for event hosts during the event, ensuring the event runs smoothly and that all elements, from gameplay to food service, are delivered at the highest level.

Event Planning & Coordination:

○ Respond to inquiries for smaller budget events, including corporate team-building sessions, social gatherings, and smaller private events.

○ Draft and negotiate event proposals, ensuring packages are tailored to meet client needs while staying within budget constraints.

○ Coordinate orders with catering companies, ensuring food and beverage packages are tailored to each event’s unique requirements.

○ Maintain accurate records of bookings, client communications, and event details in the club’s scheduling system, ensuring that all departments are informed and prepared.

○ Plan and execute engaging membership programming, including social mixers, wellness events, themed nights, and seasonal celebrations that foster a strong sense of community.

○ Collaborate with internal teams and external vendors to curate unique experiences that align with member interests and club values.

○ Manage event promotion and communication with members, including drafting email announcements, creating signage, and coordinating RSVPs.

○ Gather feedback from members and analyze participation metrics to continuously improve the membership programming calendar.

Logistics & Vendor Management:

○ Ensure all event logistics are handled, from vendor deliveries to staffing schedules, so events are well-prepared in advance.

○ Collaborate with external vendors for additional event services, including catering,

entertainment, and rental equipment when necessary.

○ Monitor event timelines, ensuring that all activities, including pickleball gameplay and social components, run on time and as planned.

Administrative & Post-Event Duties:

○ Add confirmed events to the internal calendar and manage communication between departments to

ensure flawless execution.

○ Assist with post-event follow-up, gathering client feedback, and identifying opportunities for

improvement.

○ Ensure all event-related billing, invoicing, and documentation are completed promptly.

Additional Responsibilities:

○ The Events Manager role is dynamic and may evolve. Additional responsibilities and tasks

may be assigned as necessary to meet the needs of the club and ensure the continued success of our events and membership programming. Flexibility, adaptability, and a proactive attitude are essential in this role.

Qualifications:

● 3+ years of experience in event management, hospitality, or related fields.

● Strong leadership skills with the ability to motivate and direct event staff in a dynamic, fast-paced

environment.

● Exceptional communication and client service skills, with a focus on hospitality and guest satisfaction.

● Ability to manage multiple events and responsibilities simultaneously, with strong organizational and

multitasking abilities.

● Experience working with catering, bar operations, and event logistics, preferably in a high-end or private

club environment.

● A proactive problem-solver with the ability to remain calm under pressure and handle last-minute changes or challenges.

● Familiarity with Google Workspace, event scheduling software, and other event management tools is preferred.

Compensation & Benefits:

● Salary: $60,000-$70,000
