Job Description

A growing biotech start-up based in Palo Alto, focused on innovation and advancing the future of life sciences. As we expand, we’re looking for a talented Executive Assistant to support a Senior Executive in our fast-paced and dynamic environment. This is an exciting opportunity to work alongside a senior leader and gain exposure to the biotech industry.

Role Overview:

We are seeking an organized and proactive Executive Assistant to manage day-to-day administrative tasks for a Senior Executive. The ideal candidate will have 1-5 years of experience in an administrative support role, a strong educational background, and the ability to thrive in a high-energy environment. This role will provide crucial support to ensure the smooth running of operations and the executive’s schedule.

Key Responsibilities:

  • Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements.
  • Act as a liaison between the Senior Executive and internal/external stakeholders.
  • Draft and prepare communications, including emails, reports, and presentations.
  • Assist with organizing and prioritizing tasks to meet deadlines.
  • Manage confidential information with discretion.
  • Organize logistics for meetings, conferences, and company events.
  • Provide support for research and special projects as required.

Qualifications:

  • 5+ years of experience as an Executive Assistant or in a similar administrative support role.
  • Bachelor’s degree (a background in a science-related field is a plus).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
  • Strong attention to detail and a proactive approach to problem-solving.
  • Ability to maintain confidentiality and professionalism at all times.
  • Experience in a fast-paced or start-up environment is a plus
  • Experience in biotech is highly preferred
