Job Description

Assistant Managing Clerk

The Assistant Managing Clerk will support attorneys across various sections and offices by providing docketing, calendaring, and associated litigation services. This role ensures accurate management of deadlines and filings in state and federal courts, arbitration forums, and administrative agencies, while staying up to date with procedural rules and court developments.

Responsibilities:

  • Review calendar reports and collaborate with associates to prepare for filing deadlines.
  • Enter court papers into the CourtAlert docketing database and synchronize PDF images with docket entries.
  • Calculate litigation deadlines based on rules and provide daily and weekly reports to attorneys.
  • Verify docketing accuracy and update the central calendar for court-driven dates daily.
  • Review incoming mail to identify and calendar case documents not served electronically.
  • Monitor federal and state court dockets and maintain computerized case records.
  • Conduct document searches at courts and government agencies and coordinate with vendors to obtain public records.
  • Provide procedural and administrative guidance, including rule updates and judges' preferences.
  • Assist attorneys with electronic filings in state and federal courts and with filing and service where electronic options are unavailable.
  • Support attorneys with court admission processes, including obtaining Certificates of Good Standing and pro hac vice admissions.
  • Maintain the attorney electronic filing registration and password database.
  • Train new attorneys and staff on docketing processes and court procedures.
  • Stay informed on procedural updates in courts and administrative forums where the firm practices.
  • Establish and maintain strong relationships with court personnel and vendors, including process servers.
  • Occasionally visit courts to file, retrieve, or deliver documents.

Qualifications:

  • Bachelor's degree required.
  • At least 2 years of litigation experience.
  • Knowledge of the Federal Rules of Civil Procedure (FRCP), Federal Rules of Appellate Procedure (FRAP), Federal Rules of Bankruptcy Procedure (FRBP), and New York state court rules.
  • Proficiency with New York State (NYSCEF) and Federal Court e-filings.
  • Familiarity with docketing and calendaring processes, including experience using CourtAlert or MA3000.
  • Experience with PACER ECF filings and Massachusetts state court Tylerhost e-filings.
  • Strong knowledge of attorney service agencies and their functions.
