Job Description

Job Summary:

The Office Manager is responsible for overseeing the daily operations to ensure the highest level of patient care, staff efficiency, and smooth workflows between various departments. This role will be responsible for the management of administrative staff. The Office Manager serves as a key liaison between providers, Practice Administrator, staff, and patients to foster a positive and professional experience for everyone.

Key Responsibilities:

· Oversee the ordering process for administrative and cosmetic supplies

· Collaborates with the Practice Administrator and providers in regards to patient schedules

· Creates and manages administrative staff schedules

· Covers shifts at the front desk of either office as needed

· In conjunction with the Practice Administrator, assist in the hiring process of new reception staff

· Manages the training process for all new administrative staff members

· Oversees the progress and probation period for the reception staff, ensuring regular evaluations are preformed

· Collaborate with the Practice Administrator to ensure marketing goals are accomplished

· Handle patient inquiries, complaints, and concerns in a professional and timely manner

· Greet patients and vendors with a smile, warmth, and professionalism, in person and over the phone

· Assist in the management of up to 6 provider schedules

· Oversee accurate communication and documentation throughout the office

· Brings concerns to management in a timely manner

· Oversees and maintains policies and workflows outlined by management

· Assists in the oversight of maintenance in both administrative and clinical areas of the office

· Supervise, train, and support the administrative team

· Assist with the sales of cosmetic products

· Coordinate with medical staff to ensure efficient patient flow

· Work in conjunction with providers and clinical staff to ensure the highest level of care

· Collaborate with peers to ensure proficient workflow and duties are completed as a team

· Delegate tasks as needed and monitor the completion by staff

· Assist in the daily operations within the office

· Maintain patient confidentiality and comply with HIPAA regulations

· Foster a positive work environment with peers

· Ability to adhere to flexible hours including the occasional evening and Saturday hours

· Other duties as assigned by supervisor or management

Qualifications:

  • High school diploma or equivalent required
  • 3 + year of management experience (medical office preferred)
  • Knowledge of dermatology terminology preferred
  • Familiarity with EMR systems, EMA preferred
  • Strong interpersonal and customer service skills
  • Proficiency in Microsoft Office Suite and Google Suite
  • Ability to multitask and stay organized under pressure

Starting Pay:

$55,000 / year
