We are seeking a highly motivated Program Manager to join our team. This role will be front and center with our client's leadership, and must bring a positive ‘can-do’ attitude. This role includes administrative support as well as a number of day-to-day client tasks. You will work closely with an internal team who loves working together to provide excellent service for our client. This position reports to the Director of Leadership Operations.

We have a strong team made up of local (Bay Area) and remote employees. Local team members generally meet together in our office twice a month, but the rest of the time, we are all in frequent contact via Slack, Zoom, etc. Having a team that works together well is essential to our success; everyone should be able to help out and support each other, even when we're not face-to-face.

What will I be doing in this role? 

You will…

  • Provide board-level support to our steering groups
  • Take minutes at regularly scheduled client teleconferences
  • Manage multiple calendars and schedule meeting requests
  • Administer our travel grants program, including collating applications, managing budgets, and acting as the primary point of contact for individuals seeking travel funding to attend our meetings
  • Respond to general inquiries via email and dispatch requests to other staff using an online ticketing system
  • Manage client email lists and websites
  • Other duties as assigned.

Compensation: $60K - $70K, based on experience, with benefits

Preferred candidate location: San Francisco Bay Area

Position Requirements:

  • Full time
  • International/Domestic travel (approximately 10-12 days at a time, 3 times a year)
  • Valid passport required

What qualifications do I need?

You have…

  • A passion for providing excellent customer service
  • Strong organizational skills: you can perform and prioritize multiple, constantly changing tasks concurrently while maintaining excellent attention to detail
  • Excellent communication and time management skills with a proven ability to meet deadlines
  • Knowledge of Google Workspace or similar software suites
  • Familiarity with online conferencing platforms like Webex and Zoom
  • A positive attitude and the desire to work collaboratively
  • The ability to thrive in both busy, dynamic environments and quieter, more independent environments
  • Strong computer skills and a knack for learning new programs
  • Flexibility and adaptability
  • A proactive spirit and the willingness to take the initiative on a variety of projects
  • A minimum of 5 years experience in a high-level administrative support position
