ABOUT THE POSITION

DMGroup is hiring an Administrative Assistant for its Boston office. The position offers an opportunity to support our firm’s mission to improve public education. The Administrative Assistant will be responsible for providing administrative support to the firm’s Managing Director of Breakthrough Results and performing all office support-related tasks.

LOCATION

DMGroup’s headquarters are located in Boston, MA. This role will be expected to report to the Boston office on a regular basis (3-4 days per week) with some flexibility to work remotely as business needs allow.

WHAT YOU’LL DO

  • Proactively and responsively manage the schedule of the Managing Director, Breakthrough Results.
  • Coordinate meetings, both in person and on Zoom, with internal stakeholders and clients, liaising with all contacts in a warm and professional manner.
  • Arrange travel and meeting logistics for the Managing Director.
  • Support in preparing materials in advance of meetings, such as PowerPoint decks and meeting materials.
  • Maintain and manage client materials, including data, communication notes, and contracts.
  • Coordinate internal helpdesk inquiries, resolving or delegating as appropriate.
  • Administer IT security awareness training through our third-party platform.
  • Maintain inventory of laptops and other hardware and software.
  • Oversee office organization and complete daily office tasks such as tidying, daily machine maintenance, and restocking.
  • Plan weekly company lunches.
  • Assist in planning company events.
  • Order and maintain inventory of office and kitchen supplies.
  • Communicate and schedule with vendors.
  • Provide hands-on support to selected company-wide initiatives.
  • Flexibility to arrive early/stay late as needed for meetings or deliveries.
  • Perform additional duties as assigned.

QUALIFICATIONS & EXPERIENCE

The ideal candidate should have/be able to:

  • Bachelor’s degree preferred
  • Minimum 2 years of relevant support experience
  • Excellent interpersonal and communication skills
  • Excellent organizational skills and attention to detail
  • Ability to manage time effectively and meet deadlines in a fast-paced environment
  • Take a positive and solutions-oriented approach to work
  • Strong competency within Google Workspace suite, Microsoft Office suite, & Zoom
  • Experience with Salesforce or other CRM preferred, but not required
  • Flexibility with work schedule as events and initiatives require it

PHYSICAL REQUIREMENTS

  • Walk up to 1 mile to run errands.
  • Lift up to 20 pounds often and 50 pounds occasionally.
