The HR Coordinator supports day-to-day Human Resources operations, including recruitment, employee engagement initiatives, onboarding processes, and compliance tracking. This role ensures efficient HR services while maintaining alignment with organizational mission and industry regulations. The HR Coordinator manages applicant and staff communication, maintains documentation and HR systems, facilitates interviews, and supports compliance and reporting activities.
Key Responsibilities: Recruitment & Applicant Management:Manage incoming applications via email, phone calls, voicemails, and applicant tracking system (ATS) messages.
Monitor and audit job boards; post, update, or remove job advertisements as needed.
Screen applicant resumes, schedule interviews, and maintain interview documentation.
Provide weekly updates to HR leadership on recruitment metrics.
Conduct interviews and document candidate evaluations in the ATS.
Maintain accurate and updated records within the applicant tracking system.
Initiate and track background checks, including coordination of fingerprinting when required.
Ensure timely documentation and follow-up for compliance with background screening standards.
Update and maintain accurate employee and client information within internal systems.
Process service terminations and track employee status changes (Inactive to Active) as needed.
Coordinate quarterly employee referral program drawings and notify winners accordingly.
Assist with annual employee surveys and compliance-related training initiatives.
Support the planning of employee events and team-building activities.
Ability to work independently and exercise sound professional judgment.
Strong attention to detail, reliability, and adherence to organizational procedures.
Effective and professional communication skills with employees and clients.
Ability to respond appropriately to changing needs and report significant updates to management.
Alignment with organizational core values and commitment to ethical standards.
At least 1 year of experience in Human Resources or a related administrative field.
Experience using applicant tracking systems and background screening tools.
Working knowledge of employment documentation such as I-9s, W-4s, and onboarding compliance requirements.
